RYA NI Executive Assistant

The Royal Yachting Association, based in Hamble, near Southampton, is the national governing body for all forms of recreational, competitive and professional boating.  It represents dinghy and yacht racing, motor and sail cruising, RIBs and sportsboats, windsurfing, inland cruising and personal watercraft. 


Job Role: RYA NI Executive Assistant


Salary: £24 - £26k pro rata depending on experience


Hours: 12 hours per week (permanent)


Location: RYA Northern Ireland, Sketrick House, Jubilee Rd, Newtownards, BT23 4YH


Job Purpose:

We are seeking an organised and proactive Executive Assistant to support the efficient running of RYA NI. This role will play a key part in maintaining the administrative functions that help deliver our strategic plan, Navigating the Future.

Working closely with the CEO and Chair, you will assist in coordinating Board meetings, oversee general office administration, including scheduling meetings, managing bookings for programmes and courses, and processing invoices.​

Job specific responsibilities:

  • Coordination of Board and Board Sub Committee Meetings, including sending out papers, taking minutes and scheduling future meetings.
  • Support the management of event and equipment bookings via an event booking platform.
  • Provide financial administrative support to the RYA NI staff team and board of directors.
  • Maintain physical and digital filing systems..
  • Respond to emails, phone calls and other correspondence.
  • Coordinate logistics for meetings, including room and catering bookings.
  • Assisting with office supply management and procurement.
  • Coordinating travel and accommodation arrangements

Essential:

  • Familiarity with Microsoft Office applications.
  • Data management and entry skills.
  • Some experience of minute taking.
  • Accurate record keeping.
  • A natural organiser, who is self-motivated, with the ability to work on own initiative.
  • Approachable and supportive, to enable collaborative working with volunteers and other team members.

Desirable:

  • An understanding of charity or sports governance
